Bedrock DJ Expectations & Style Guide

How We Deliver a Five-Star Wedding Experience

At Bedrock DJ Entertainment, our goal is simple:

Every couple should feel like they hired the best DJ company in New England.

Whether the wedding came through Fern Hill, Wedgewood, or a direct Bedrock booking, our clients expect professionalism, confidence, organization, and an unforgettable celebration.

This page outlines exactly what is expected of every Bedrock DJ.

Our Core Philosophy

We are not simply music providers.

Every interaction with a client, venue coordinator, photographer, videographer, and guest reflects on Bedrock DJ Entertainment.

1. Communication Standards

Respond Promptly

  • Reply to client emails within 24 hours whenever possible.

  • If you need additional information, acknowledge the message and let them know you’re working on it.

Be Friendly and Confident

Clients are often overwhelmed. Your job is to make them feel calm and excited.

Keep Greg Informed

Notify Greg immediately if:

  • A client changes their timeline

  • Ceremony or reception times change

  • The venue schedule differs from what is in the portal

  • There are concerns or red flags

  • You need additional support

2. The Client Portal Is the Source of Truth

The online planning portal is our official record.

This includes:

  • Pronunciation of names

  • Timeline details

  • Music requests

  • Special dances

  • Ceremony information

  • Vendor contacts

If it is not in the portal, it does not officially exist.

For Fern Hill and other Wedgewood venues, clients may complete a Google Doc through the venue. That document is helpful, but all final details must be entered into the Bedrock portal.

3. Final Detail Meetings

Final meetings should be scheduled 2–4 weeks before the wedding and typically last 30–60 minutes via Zoom.

Your responsibilities:

  • Review every section of the portal

  • Confirm names and pronunciations

  • Verify timeline and logistics

  • Discuss music preferences

  • Answer questions and offer guidance

  • Build confidence

After the meeting:

  • Update the portal with all changes

  • Notify Greg of any timeline changes

  • Ensure all details are complete and accurate

4. Calendar Management

Every event must appear in your Google Calendar.

You should:

  • Verify bookings appear correctly

  • Share your calendar with your spouse or significant other if needed

  • Watch for schedule changes

  • Confirm travel times and load-in windows

If a booking is added in one system, corresponding time-off should be entered in the other scheduling system.

5. Setup & Presentation

Our setups should look clean, elegant, and intentional.

Standards:

  • Gear neatly arranged

  • Wires taped and hidden

  • Speakers placed thoughtfully

  • Lighting positioned symmetrically

  • Cases and clutter out of sight

Guests may not consciously notice a clean setup, but they absolutely notice when one looks messy.

6. Fern Hill & Venue Package Standards

Fern Hill is one of our most important venue relationships.

When working there:

  • Follow all venue procedures

  • Coordinate professionally with staff

  • Reset rooms when necessary

  • Return all gear to the designated storage area

  • Represent Bedrock and Greg with excellence

Wedgewood closely monitors client feedback, and strong performance can directly impact future bookings and bonuses.

7. MC Style

Our MC style is modern, natural, and concise.

We avoid outdated phrases such as:

  • “Ladies and gentlemen…”

  • “At this time…”

  • “Can I have everyone’s attention please?”

Instead, we use direct language like:

  • “All eyes on the dance floor as we welcome your wedding party.”

  • “Let’s bring out Sarah and Mike for their first dance.”

As outlined in Bedrock Announcement Cheat Sheet, our standard is:

No filler. No clichés. Just confident, professional communication.

8. Music Programming

Great DJs read the room and keep momentum high.

General guidelines:

  • Most dance songs should run about 2½–3 minutes

  • Transition while energy is strong

  • Mix generations and genres intelligently

  • Follow Must Play and Do Not Play lists

  • Adapt based on guest response

The goal is a packed dance floor—not proving how much music you know.

9. Ceremony Responsibilities

Before the ceremony:

  • Confirm all music cues

  • Test microphones

  • Verify officiant lavaliers if used

  • Silence phones and radios

  • Coordinate with photographer and videographer

If using recorded edits, double-check every file in advance.

Nothing should be “tested for the first time” at the wedding.

10. Working With Other Vendors

We are part of a professional team.

Always:

  • Introduce yourself

  • Share timeline updates

  • Coordinate key moments

  • Offer audio feeds to videographers when possible

  • Be flexible and solution-oriented

Strong vendor relationships lead to referrals.

11. During the Event

You are in charge of the flow of the celebration.

That means:

  • Staying proactive

  • Watching the timeline

  • Communicating with vendors

  • Anticipating issues

  • Keeping the energy exactly where it should be

The best weddings feel effortless because the DJ is constantly working behind the scenes.

12. After the Event

Before leaving:

  • Save any ceremony or speech recordings

  • Confirm all equipment is packed

  • Leave the space spotless

  • Return venue equipment to proper locations

Within 24 hours:

  • Share notes with Greg if necessary

  • Flag exceptional weddings

  • Mention any issues or opportunities
